Public Sector Project Management

Made Easier with ProWorkflow

Government and Public Sector work tends to be intensive (although not entirely), which makes having the right government project management software essential. A tool like ProWorkflow’s Nexus can help program and project managers handle the complexity of approvals, budgets, and stakeholder engagement.

Project management software won’t necessarily help with all of the issues faced by the industry. For example, ProWorkflow will be of limited use when governments and their initiatives shift; projects may be dropped or radically altered, and inefficiencies are unavoidable in such cases.

However, organizationally and administratively, ProWorkflow’s Nexus can help you ensure that your stakeholders and team are ready for several layers of approval.

Lengthy Decision-Making Processes

  • Problem: Multiple layers of approvals slow down progress.
  • Cause: Hierarchical structures, legal checks, political oversight.
  • Impact: Project delays, missed funding cycles, opportunity costs.

Public sector project management is held to a very high standard in terms of information and process integrity. The natural follow-on from this is that a lot of approvals can be needed for any given project. Luckily, ProWorkflow’s project management tool has a couple of dedicated ways of dealing with it.

The first is to use Item Typing to your advantage. Combined with templating, any given item list/deliverable can have its own independent approval step. This can be its own distinct item type, so it’s easy to keep track of and report on as required. This means, by extension, any approved program and project managers can quickly run a report that shows all of the pending approvals they have on their plate, as well as quick access to all the information required to complete their tasks. While this won’t organizationally reduce the number of necessary approvals, it will make sure it’s easy to identify them and who is responsible for their completion.

The other method is slightly less intensive, but also somewhat lower effort. Use ProWorkflow’s tagging system to identify tasks requiring approval, and which ones have been approved. While perhaps not as information-dense as method one, it requires less setup, and tags are still a reportable field. It may only be slightly harder to keep track of who the approver is and when they gave their sign-off, though!

Complex Stakeholder Environment

  • Problem: Multiple internal departments, agencies, and public stakeholders must be aligned.
  • Cause: Large organizational footprints and community consultation requirements.
  • Impact: Conflicting priorities, diluted focus, prolonged consultations.

Any given government (including federal agencies) or public organization will have lots of members looking to get updates on various projects. Either it will be other departments with a vested interest in the outcome of your project, or higher-ups needing to manage budgetary constraints. In either case, Nexus’ allowance of clients to access the system (without additional charge) will make managing information updates much easier. As registered clients in the system, those stakeholders will be able to see as much or as little as you require!

Speaking more broadly, you may have stakeholders who are more internal to your team/department. In this case, they can be assigned to projects and items in an update capacity, just like any other staff member. This is a core benefit of ProWorkflow: information centralization and data accessibility. In this way, it’s easy to keep track of all parties’ involvement with your engagements, and our messaging system can catalog any input they might have.

Budget Constraints and Unspent Allocations

  • Problem: Annual budgets can be restrictive or “use it or lose it.”
  • Cause: Fiscal year cycles, rigid funding models.
  • Impact: Rushed spending at year-end or under-delivery due to funding lags.

Nexus puts all of your information front and center, and financial information is no exception. In any given PWF project, your financial data can be generated from a quote to ensure approval from higher-ups and then presented as a project with all of that budget information intact. Your pay rates, charge rates, and various other cost items can be input and measured without any additional thought. Every minute is tracked, and subsequently so is every dollar. The system will also keep track of progress and its implications for future profitability.

Inefficient Communication

  • Problem: Information often gets lost or delayed in departmental silos.
  • Cause: Fragmented systems, outdated technology, unclear ownership of communication.
  • Impact: Duplication of work, misaligned teams, policy implementation delays.

Above, we mentioned Data Centralization as a primary benefit of using a tool like Nexus. This can be a considerable boon, specifically to a public organization, however, only if you’re able to treat Nexus as a core source of truth. This can be tricky when managing public sector projects, as there are often other information systems that you’ll need to interface with. Luckily, ProWorkflow’s Nexus does its best to solve this issue by retaining an entirely open API. That means if there’s a data object you can interact with in our interface, there is a database request you can make to add/edit/delete that object, too.

This means if a user is added to a specific list in your CRM, a contact may be created for them in Nexus, along with a new project that utilizes a particular template, based on the list the user was added to. Any number of automated actions are possible, meaning all of your information systems are talking to each other, and ProWorkflow’s municipal project management software can be treated as a sole source of truth.

No industry requires the levels of bureaucracy and communication that the public sector does. It’s not easy, but with the proper project management tools in your court, you can make the best of a sometimes confusing situation!
