Importing Data From Workflow Max
We in the Product and Development team are really excited about our current work, so I thought I’d take a few minutes to talk about where we are and where we’re going.
Where we are now
If ProWorkflow was a diagram it might look something like this:
Here we see a progression of work through different stages. Your organization might start at any of the stages (represented by circles) – There is no right or wrong way.
In fact many of our accounts only use ProWorkflow at the project stage due to the powerful features available there.
however others create quotes, then turn an accepted quote into a project, and finally invoice their clients for the work completed.
There are a lot of other cogs to ProWorkflow – but much of its strength lies in tracking and organizing work as it progresses towards completion.
Unfortunately – a current shortfall is that profitability, gross margins and other key information is being lost along the dotted chain.
Where we’re going: “Fix the Chain”
We want to strengthen the relationships between the different stages so that none of the key information is lost.
A closer look at Line Items
If we look closer at what currently happens at the quote, project & invoice stages, you’ll see that quotes and invoices have line items however projects only have tasks. Non-time related items don’t currently have anywhere to go in the project
Items with Quantity (“Materials”)
We want make new connections at the line items level and be able to attach materials or other non-time specific items at the project level and move it onto the invoice.
The great news is that this will benefit you, even if you only use Projects. Its really about putting both a cost rate & charge rate against all types of items so that you can track monetary values and gross margins everywhere.

If you’re currently with ProWorkflow – be sure to look out for these changes in the second half of 2023. Some improvements will be stepping stones, but our end goals are clear.
