Feature Improvement: Easier User & Access Management

We’ve made a small change to how Contacts are granted access and how passwords are set. These changes make ProWorkflow more secure, and easier to use than ever.

Adding Contacts with Login Access

For creating new users, you only need to allow them login access, and click ‘Save’. As soon as you’ve saved the new user, they will automatically be sent an email with a link that will take them to the Set Password screen. This will be a one-time link, and is valid for 72 hours.

Sending Login Access

For helping anyone regain access to the tool, whether they’ve forgotten their password or didn’t click the link within three days, the ‘Send Login Details’ button makes it easy. This link has always been available on the right hand side of the Contact page, however we’ve also added this link in Edit Contact as well as the Users & Permission settings page.

This was one of our more broadly used features, and we’ve made it easier to find and use. It also means managers now don’t need to give users temporary passwords when creating new profiles, or re-granting access – Simply click “Send”.

Secure Passwords

Where before you could set your password from the Profile menu, you’ll now need to send yourself the same link as described above. Importantly, there are also password standards being enforced which revolve around having a password that is not easily guessable. The password needs to be a minimum of 8 characters (although more is better!), and will score higher if it’s not an existing word. In general, using passphrases is a good practice in choosing a strong password. P@ssword1 is a bad example that is “too guessable” whereas “fluffyhasfleasagain” is a strong password that is easy to remember and hard to guess.

What do I need to do?

While we are enforcing password standards, any current passwords that do not meet that standard are not being removed, so users with such passwords have as much time to expand on these passwords as they need. This means no immediate action is required from anyone, and the changes will largely impact you when creating new users with login enabled. The biggest impact on most users will be that changing your own password now requires you to use the ‘Set Password’ screen, too.
